Booking Terms & Conditions
Everything you need to know before booking your Himalayan adventure — deposits, payments, refunds, and your responsibilities as a traveller.
Down Payment
To secure your place on any HSJ trip, a down payment of $100 is required at the time of booking. The remaining balance can be settled 30 days before departure or upon your arrival in Kathmandu.
If this payment schedule causes any difficulty, please contact us — we aim to be as flexible as possible and will work with you to find a solution.
How to Pay Your Deposit
We offer two convenient ways to make your payment:
- Online Payment — pay securely by credit card at hsj.com.np/payment. Visa, MasterCard and American Express accepted.
- Bank Transfer — transfer directly to our Standard Chartered Bank account. No handling fee.
Payment of the Balance
The remaining balance is due at least one month before your arrival in Nepal.
Last-Minute Booking
We are happy to accommodate last-minute bookings — but only for Nepal trips.
Refund Policy
In the event of cancellation, no refund will be made on the deposit amount. However, HSJ is happy to postpone your trip to a later date rather than cancel it — we strongly encourage this option.
Supplement Charge
All HSJ tour and trek packages are priced on the basis of twin-sharing rooms or tents.
A single supplement charge will apply to any client who does not have another participant to share accommodation with. Please enquire for the applicable rate for your chosen trip.
Incomplete Tour
We strongly recommend comprehensive travel insurance to cover costs that may arise from early departure due to medical or personal reasons.
Unforeseen Circumstances
If Himalayan Social Journey must cancel your trip due to circumstances beyond our control — including war, natural disasters, political conflict, or severely unfavourable weather — we will offer an alternative trip of comparable standard.
Clients' Responsibility
The tour or trek guide who represents Himalayan Social Journey holds full authority during your trip and must be respected at all times.
The guide's decisions — especially regarding route, pace, and safety — are final and are made in the best interest of all participants.
Travel Insurance
Your policy must cover at minimum:
- Medical emergencies and hospitalisation
- Natural calamities and evacuation
- Helicopter evacuation at altitude
- Personal accident
- Trip cancellation and curtailment
Tour Amendment
Prior notice is required for any changes to an agreed itinerary. If you wish to alter your programme, please contact us as early as possible and stay in communication with your guide.
Occasionally, itinerary adjustments may become necessary during the trip due to adverse weather, trail conditions, or other unforeseen factors. In such cases, your guide will always offer the best available alternative.
Papers & Documents
All required travel documents — including a valid passport, visa, trekking permits, and any other paperwork — must be in order and presented correctly before departure.
Flight Delay / Cancellation
Flight delays and cancellations are a common reality in Himalayan regions due to unpredictable mountain weather, particularly at high-altitude airstrips including Lukla, Jomsom, Dolpa, Simikot, and Jumla.
HSJ Mission
Through the Himalayan Community Project, 10% of the proceeds from all HSJ-organised trips and treks go directly toward improving the educational opportunities of underprivileged children in the rural areas of Nepal.
