1. Down Payment
To reserve your spot, a minimum down payment of 20% of the total trip cost is required. Please note that this deposit is non-refundable in the event of cancellation.
The remaining balance must be settled 30 days prior to departure or upon arrival in Kathmandu.
If this payment schedule poses any difficulty, please do not hesitate to contact us. We will do our best to accommodate your needs.

3. Payment of the Balance
The remaining balance is due one month prior to your arrival.
If payment is made by credit card, a 3.5% handling fee will apply.No handling fee is charged for bank transfers.
4. Last-Minute Booking
We accept last-minute bookings only for Nepal excursions. Last-minute bookings for India, Bhutan, and Tibet trips are not accepted.
5. Refund Policy
In the event of trip cancellation, the 20% deposit is non-refundable.
However, clients may reschedule their trip for a later date at no additional cost.
If the full trip cost has already been paid and the client decides to cancel, HSJ will issue a refund after deducting 20% of the total trip cost.
Written notification is required to process any cancellation.
6. Cancellation Policy (Important)
If a day tour is cancelled within 24 hours of departure, no refund will be made.
Multi-Day Tours / Treks
If a multi-day tour or trek is cancelled less than 48 hours before departure, no refund will be made.
Other Cases
For cancellations excelpt above terms, the deposit amount can be used as credit for a future HSJ trip, subject to trip availability.
7. Single Supplement Charge
Our tour and trek packages are based on twin-sharing accommodation.
A single supplement charge will apply if a participant does not have another traveler to share a room or tent.
8. Incomplete Tour
No refund will be made for clients who leave the trip early or drop out, regardless of the unused portion of the itinerary.
9. Unforeseen Circumstances
If Himalayan Social Journey must cancel a trip due to unforeseen circumstances such as war, natural disasters, political conflict, or unfavorable weather, we will offer an alternative trip of comparable value.
If the alternative does not suit your interests, all payments made to HSJ will be fully refunded. Any additional expenses incurred outside HSJ will remain the client’s responsibility.
10. Clients’ Responsibility
The tour or trek guide representing Himalayan Social Journey holds full authority during the trip and must be respected at all times.
11. Travel Insurance
All clients must obtain comprehensive travel insurance covering medical emergencies, natural calamities, helicopter evacuation, personal accidents, and trip cancellation. This is mandatory.
12. Tour Amendment
Advance notice is required for any itinerary changes. In certain circumstances such as bad weather or local conditions, changes may need to be made during the trip.
13. Papers & Documents
Clients are responsible for providing all required documents, including visas and permits, in the correct order. HSJ is not responsible for delays or cancellations caused by missing or incomplete documents.
14. Flight Delay / Cancellation
Flight delays and cancellations are common in Himalayan regions due to weather conditions, especially in areas such as Lukla, Jomsom, Dolpa, Simikot, and Jumla. In such cases, itineraries may be adjusted accordingly.
15. HSJ Mission
Our mission is to support community development through tourism.
Through the Himalayan Community Project, 7% of proceeds from all HSJ-organized trips and treks are dedicated to improving educational opportunities for underprivileged children in rural Nepal.
