Company Policy
1. Down payment
To reserve your spot, a minimum down payment of 20% of the total trip cost is required. Please be aware that this deposit is non- refundable in the event of cancellation. The remaining balance must be settled 30 days prior to departure or upon arrival in Kathmandu.Don’t hesitate to contact if this poses any difficulty for you, please feel free to reach out to us. We will do our best to accommodate your needs.
2. Pay Your Deposit
You have the flexibility to select from two distinct payment methods

3. Payment of The Balance
The remaining balance is due one month prior to your arrival. If you opt to pay with a credit card, a 3.5% handling fee will apply to the outstanding balance. However, there is no handling fee for payments made via bank transfer.
4. Last-Minute Booking
We only accept last-minute bookings for Nepal excursions. Last-minute bookings for India, Bhutan, and Tibet trips are not accepted.
5. Refund
In the event of trip cancellation, the 20% of deposit is non-refundable. However, we offer the option to reschedule your trip for a later date.There is no fee associated with rescheduling for a later date. If you have paid the full trip cost and decide to cancel, HSJ will issue a refund, with 20% charge applied to the overall trip cost.
Note: Please provide written notifications of your cancellation to cancel any trip.
6. Single Supplement Charge
In our holiday tour/trek packages, rooms or tents are provided for twin-sharing. Therefore, a single supplement charge will apply if a client doesnot have another tour participant to share a room/rent.
7. Incomplete Tour
No refund will be made to clients who drop out from the journey, regardless of whatever portions remain unused in the itinerary.
8. Unforeseen Circumstances
In the event that HSj Company needs to cancel your trip due to unforeseen circumstances such as war, natural disasters, conflicts, or unfavorable climate conditions, we would be delighted to offer you an alternative trip of comparable quality.
If this option doesn’t align with your interests, rest assured that any funds you’ve paid to our company will be fully refunded. However, please note that any additional expenses resulting from this booking will be your responsibility.
9. Clients' Responsible
A tour/trek guide representing Himalayan Social Journey Company deserves all authority during your tours.
10. Travel Insurance
You must purchase a comprehensive travel insurance package against medical, natural calamity, helicopter evacuation, personal accident, trip cancellation, etc. This is strongly suggested to all our clients.
11. Tour Amendment
Prior notice is requested to make alterations to any trek/tour itinerary. You're advised to stay in touch with us. But occasionally, you may be obliged to do so en route under certain circumstances, for instance, bad weather, etc.
12. Papers & Documents
To ensure a smooth process, please ensure all required documents are provided in the correct order, such as visas and permits. We cannot be held responsible if trip formalities are not completed before departure due to missing or incomplete documents.
13. Flight Delay / Cancellation
In Himalayan regions, flight delays or cancellations are common due to unpredictable weather conditions, particularly in areas like the Everest region (Lukla), Jomsom, Dolpa, Simikot, and Jumla. If such situations arise, your itinerary will be modified.
14. HSJ Mission
Our mission is to fund community enhancement programs through tourism revenue. Through the Himalayan community project, 10% of proceeds from all HSJ organized trips or treks are dedicated to enhancing educational opportunities for underprivileged children in rural Nepalese communities.
