Down Payment

To reserve your spot on any HSJ trip, a minimum down payment of 20% of the total trip cost is required at the time of booking.

Important This deposit is non-refundable in the event of cancellation. Please read our Refund Policy (Section 5) for full details.

The remaining balance must be settled 30 days prior to departure, or upon arrival in Kathmandu, whichever comes first.

Payment of the Balance

The remaining balance is due one month prior to your arrival in Nepal.

Credit Card Fee A 3.5% handling fee applies to all credit card payments. No handling fee is charged for bank transfers.

Last-Minute Booking

We accept last-minute bookings only for Nepal excursions.

Not Available Last-minute bookings for India, Bhutan, and Tibet trips are not accepted due to permit and logistics requirements.

Refund Policy

In the event of trip cancellation, the 20% deposit is non-refundable.

However, clients may reschedule their trip for a later date at no additional cost — we encourage this option whenever possible.

Full Payment Cancellation If the full trip cost has already been paid and the client decides to cancel, HSJ will issue a refund after deducting 20% of the total trip cost.

Written notification via email is required to process any cancellation or reschedule request.

For all other cancellations outside the above terms, the deposit amount can be used as credit for a future HSJ trip, subject to trip availability.

Single Supplement Charge

Our tour and trek packages are based on twin-sharing accommodation.

A single supplement charge will apply if a participant does not have another traveler to share a room or tent.

Incomplete Tour

No Refund No refund will be made for clients who leave the trip early or drop out, regardless of the unused portion of the itinerary.

We strongly recommend comprehensive travel insurance to cover any costs that may arise from early departure due to medical or personal reasons.

Unforeseen Circumstances

If Himalayan Social Journey must cancel a trip due to unforeseen circumstances — including war, natural disasters, political conflict, or severe unfavorable weather — we will offer an alternative trip of comparable value.

Full Refund Option If the alternative trip does not suit your interests, all payments made to HSJ will be fully refunded. Any additional expenses incurred outside of HSJ (flights, visas, personal costs) remain the client's responsibility.

Clients' Responsibility

The tour or trek guide representing Himalayan Social Journey holds full authority during the trip and must be respected at all times.

Travel Insurance

All clients must obtain comprehensive travel insurance covering medical emergencies, natural calamities, helicopter evacuation, personal accidents, and trip cancellation. This is mandatory.

Tour Amendment

Advance notice is required for any itinerary changes. In certain circumstances such as bad weather or local conditions, changes may need to be made during the trip.

Papers & Documents

Clients are responsible for providing all required documents, including visas and permits, in the correct order. HSJ is not responsible for delays or cancellations caused by missing or incomplete documents.

Flight Delay / Cancellation

Flight delays and cancellations are common in Himalayan regions due to weather conditions, especially in areas such as Lukla, Jomsom, Dolpa, Simikot, and Jumla. In such cases, itineraries may be adjusted accordingly.

Our mission is to support community development through tourism. Through the Himalayan Community Project, 7% of proceeds from all HSJ-organized trips and treks are dedicated to improving educational opportunities for underprivileged children in rural Nepal.
